Description/Job Summary

An Administrative Assistant is responsible for greeting visitors and answering phones and emails in a timely, professional manner. They must be a master at multi-tasking that is excellent with communication skills and organization of papers, electronic paperwork, files, and more. Should be able to politely and professionally assist management and all other employees in the company. To be successful as an Administrative Assistant you should be attentive to detail, accurate, and willing to meet challenges that may arise.

Main Job Tasks & Responsibilities

  • Greet clients, vendors, and other visitors in a friendly, professional manner
  • Determine the guest’s needs • Assist guests in coordinating with the appropriate person
  • Answer and address incoming phone calls and emails in a timely and polite manner
  • Clearly determine the purpose of the call or email
  • Answer questions when possible, providing correct information
  • Forward calls and emails to the appropriate person
  • Take and deliver detailed messages accurately and completely
  • Enter leads and new jobs into Aspire
  • Create online files for sales jobs and create job packets
  • Track office inventory and consumables and create a weekly list of items to order when necessary
  • Scan and file documents
  • Make deliveries / run errands
  • Other duties as assigned which may or may not be directly related to the position

Required Skills

  • 1-3 years of receptionist experience
  • Excellent written and verbal communication skills
  • Highly motivated, self-driven individual who is punctual, dependable, and accountable
  • Positive Attitude, team oriented, a strong work ethic, and an outgoing personality
  • Disciplined, proactive and excellent follow-through skills
  • Ability to work with a high degree of attention to detail and discretion
  • Must be highly organized and have ability to prioritize tasks in rapidly changing environment
  • Great time management skills
  • Expert Multi-tasker
  • Ability to work with a culturally diverse workforce
  • Must be a problem solver with an ability to look at situations from multiple angles to come up with the most desirable result
  • Must be resilient and consistent
  • Must be highly proficient with a computer, working within the Microsoft suite of applications, and ability to learn our company software (Aspire)
  • Bilingual a plus
  • Valid TX Driver’s License and an acceptable driving record
  • Must be able to pass drug test at any time. (Required)
